If you need to fix an error or make a change to a PDF file, it's best to go back to the originating application, make the correction there, and then generate a new healthy PDF file. But you don't always have that option.

If you don't have the original application file, and you're on a deadline, don't panic. Acrobat Pro DC gives you some powerful editing tools for both text and graphics. When I choose Edit PDF, you can see the editing tools wake up. First, Edit text & images, you can Add text, you can even Add an image where there wasn't one before, you can Add hyperlinks or edit existing ones, you can Crop Pages, you can add Headers & Footers, Watermarks and there's More.You can add Backgrounds, Bates Numbering, Bookmarks. You can Attach Files, Add Article Boxes for easy reading.

So I think you start to see how powerful these tools are. Here, I just want to concentrate on editing text and graphics. If you have the necessary fonts active on your system, you can extensively edit text easily.

For example, in this text, I'd like to change a little bit of it to just make it easier to read. I wanna say that it's a neighborhood that has something for everyone, from theater to dining to historic sights you may not have seen.And see how easy that is, and notice that the text wraps. This is great. However, when you're editing text, you have to be aware of some limitations. Although font information is embedded in the PDF file, that embedding is for purposes of display and printing, not for editing.

If you don't have the font, Acrobat DC is forced to substitute a font. I'm afraid that's just one of these things. For example, up here I'd like to add a little bit to this paragraph, I would like to say that Arthur Landon was an adventurous English businessman, so I click, I start to type.Notice the little yellow flag that comes up. It says that that original font, Enriqueta, isn't available on my system, or it can't be used in editing. There are some fonts that forbid themselves from being re-embedded after editing, and you'll just know them when you find them. So what does that mean?

Well, if I keep going, it's pretty obvious that that's set in a different font and that's just not attractive. And this little yellow exclamation point is warning me that this is what's happened. So what's the solution? Either I don't make the edit, or I use a different font for all of this text and that may be what you're forced to do.So here I'm gonna select all of this text, and over here on the right, for FORMAT, I'm gonna change this to Minion Pro which is a font I do have on my system and it's close enough I think, that it won't be painfully obvious that I've changed it.

Editing

At least I have consistency in all of that text. So, this is just one of those things you have to keep in mind. Now, there are changes that you can make even if you don't have the font.

So, here if I want to say that this is 12 Oxford Street, I can delete the 3, and I can get away with that even though I don't have the font so, you'll find that you can delete text, you may not be able to add text without changing the font and you can change the colors.So here if I want to select this text, click on the color block here on the right and pick a color, I can do that. It's not page layout in its entirety but it might be enough to save you. Now, you might be surprised though, given the limitations with text, how easy it is to edit graphics. You can move, you can rotate, you can scale graphics.

When I click on this image, you'll notice the little handles that show up. I can grab it and I can move it, and by the way, unlike some things in Acrobat, there is an Undo for this.If I want to scale it, I can grab the corner and drag it up. If I want to rotate it, I just hover my cursor around one of the corners, and I can rotate. And again, I can Undo, and I think it's easier to use my keyboard shortcut, Control-Z or Command-Z and notice that there are multiple undos.

What if I wanted to replace an image? If I click on an image, I can right-click and I can choose to Replace the Image. I happen to have a replacement image and notice that it falls right in place.So it scales itself as necessary, crops itself as necessary and falls into the same position, this is really great. But what if I want to do something that goes beyond what Acrobat can do? For example, what if I need to delete a blemish from an image or I need to change the color of some content in the image?

Well for that I'm gonna use Photoshop. I'm gonna right-click and choose Edit Using, Adobe Photoshop. I could also use Microsoft Paint but I'm more familiar with Photoshop and I think it's more powerful.Now, notice the name of the file as it's opened in Photoshop. This is what's called a touch up file and what's happened when I said edit using Photoshop, I've sort of opened up a line of communication between Acrobat and Photoshop. When I make the change, I can save this and it's gonna write it back into the PDF. So, I'm just gonna select his red coat, and I know this won't be correct but it'll show you what's possible. Under Adjustments, I'm just gonna change the Hue.That's not pretty, but it'll be obvious when I write it back into the PDF.

If I just choose File, Save, it's gonna communicate that change back into Acrobat, write it into the PDF and make the fix. However, if I chose File, Save As, it doesn't go back into the PDF. I can save it as a disk file, in case I need this image and the only place I could find it was in that PDF. But what I wanna do here of course is make that change to the PDF, so I just choose File, Save, and then when I switch back to Acrobat, you can see that that change has been made.Now, when you're through with your edits, here's a little tip.

Of course you should save your file, but especially if you've made extensive edits, if you choose Save As and just override your original file, you may find that that substantially reduce your file size which is kind of a nice thing. And now that you know how easy it is to edit PDF files, maybe you won't panic the next time a client asks for last minute changes.
